Dental Revenue Leakage Diagnostic

Find the revenue opportunities hiding inside your dental practice data.

SignalCare Analytics reviews available practice-management exports, operational reports, and follow-up workflows to identify likely missed revenue opportunity, workflow gaps, and the highest-priority areas for review. PMS names describe source context only and do not imply vendor endorsement or partnership.

We do not replace your phone, texting, scheduling, payment, or PMS tools. We add the operational intelligence layer above them.

What Revenue Leakage Looks Like

Unscheduled treatment

Pain: Diagnosed treatment gets accepted verbally, then never reaches the schedule.

SignalCare surfaces: Open treatment value by patient, provider, age, last touch, and follow-up status.

Example action: Call and text the highest-value, oldest accepted cases with a clear owner.

Recall decay

Pain: Hygiene patients drift past due while recall lists stay too broad to work daily.

SignalCare surfaces: Overdue recall by aging band, outreach gap, patient segment, and location.

Example action: Start a recall sequence for patients overdue 90, 180, or 365 days.

Missed-call follow-up gaps

Pain: Calls are logged in phone tools, but missed opportunities do not always become appointments.

SignalCare surfaces: Missed calls without a booked appointment, return call, or completed next step.

Example action: Call back urgent new-patient and treatment-related missed calls within the target window.

Schedule holes

Pain: Open chair time appears too late for the team to fill it with the right patients.

SignalCare surfaces: Upcoming gaps matched to recall, unscheduled treatment, and short-notice candidates.

Example action: Fill openings with patients already needing hygiene, treatment, or follow-up.

Collections follow-up

Pain: Balances age while payment links, calls, and reminders are inconsistent.

SignalCare surfaces: Balances by age, amount, last touch, payment-link status, and owner.

Example action: Send payment links and assign follow-up for balances over 30, 60, or 90 days.

Treatment plan drop-off

Pain: Case presentation, estimate, and follow-up activity are not visible as one pipeline.

SignalCare surfaces: Presented treatment by status, value, age, provider, and documented next step.

Example action: Re-contact patients with no scheduled appointment after estimate or consult.

Front-desk overload

Pain: The team has too many lists and no clear priority order for today's follow-up.

SignalCare surfaces: One ranked queue across recall, treatment, missed calls, schedule gaps, and balances.

Example action: Work the top-priority queue by value, urgency, and days since last touch.

Location/provider variation

Pain: Owners can see totals, but not where workflow leakage differs by location or provider.

SignalCare surfaces: Variation in unscheduled value, recall decay, missed calls, collections, and closure.

Example action: Review outlier locations and standardize the follow-up rhythm that works.

Keep Weave. Add Operational Clarity.

Weave and similar platforms are useful for phones, texting, reminders, payments, reviews, scheduling, forms, and patient engagement. SignalCare does not replace those tools.

SignalCare focuses on the next layer:

  • What revenue is leaking?
  • Which patients need follow-up?
  • Which diagnosed treatment is unscheduled?
  • Which recall patients are decaying?
  • Which missed calls never became appointments?
  • Which balances need outreach?
  • What should the team do today?

SignalCare

Objections, answered.

Do you replace Weave?

No. Weave is useful for communication, phones, reminders, payments, and patient engagement. SignalCare focuses on revenue leakage, operational visibility, dashboards, and daily action queues across your existing systems.

Do you replace Dentrix, Open Dental, or Eaglesoft?

No. SignalCare is not a PMS replacement. It adds an operational intelligence and action layer above the systems your practice already uses.

Can this start with CSV exports?

Yes. The first version should prove ROI with exports before spending time and money on deep integrations.

Do we need an API integration?

Not at the start. Exports are often enough for a diagnostic, prototype dashboard, and initial worklist. API or database connections can be considered after the value is clear.

Is this HIPAA-sensitive?

Likely yes if patient-level data is involved. We use minimum necessary data, secure workflows, and do not ask users to submit PHI through the website or email.

What does the diagnostic include?

The diagnostic reviews available PMS or export data, identifies top opportunity categories, and delivers a summary scorecard with the highest-priority follow-up themes.

How fast can we see value?

Many practices can see useful direction from a focused export review and prototype worklist before a heavy integration project begins.

Is this for single practices or DSOs?

Both. Single practices usually start with revenue leakage and front-office follow-up. DSOs often add location comparison, provider variation, and standard workflow tracking.

Can you build this in Power BI?

Yes. SignalCare can prototype the dashboard in Power BI or a spreadsheet, depending on budget, data readiness, and how the team wants to operate.

What data do you need?

Typical inputs include treatment plans, appointments, recall, balances, production, collections, call or communication activity, provider/location fields, and follow-up status where available.
